Plain English Champion awards — entry requirements for Category 1

There are three awards in the Plain English Champion category.

  • Best Organisation
  • Best Project
  • Best Individual

The entry requirements for each award are set out below.

There is only one stage in the judging process for the Plain English Champion awards. The independent judging panel will be solely responsible for selecting the finalists and winner.

Best Organisation

The award for Best Organisation is the premier award. This award is open to any New Zealand-based organisation that has developed a plain English culture across the whole organisation.

What to include with your entry for Best Organisation

Organisations entering this award must show evidence of a successful campaign to create an organisation-wide plain English culture.

To enter this award, please send us a detailed description of your plain English policy and how it is implemented across your organisation. Please note, we need five copies of your detailed description for the judging process.

Evidence could include:

  • visible management commitment
  • plain English project plans
  • audits of plain English use
  • use of an internal or external plain English standard
  • use of a style guide that supports plain English
  • comprehensive plain English training for all staff
  • use of plain English software
  • solicited and unsolicited feedback from readers
  • internal and external publicity campaigns.

Prize — $10,000 plain English consultancy and editing services

The winner of the Plain English Champion — Best Organisation award will receive plain English consultancy and editing services to the value of $10,000 from Write Group Limited. The prize is to be used on a specific plain English project designed to produce measurable results for the winning organisation (that is, savings in time or money, or both).

The winner will complete the project by 30 June 2009. They will then document the results in a project report by 31 July 2009 and present the report at the 2009 WriteMark New Zealand Plain English Awards.

When you submit your entry, include a short description of the plain English project your organisation would undertake if it won this award (your idea for a project isn't part of the judging criteria).

Best Project

To enter this award, please send us a detailed description of your plain English project. A Best Project entry may be an externally focused project, or part of an internal plain English project for your organisation. 

Examples of a plain English project are:

  • a set of brochures or booklets written in plain English
  • template letters rewritten in plain English
  • a website or intranet rewritten in plain English
  • newsletters written in, or promoting, plain English
  • plain English resource material that you have developed  for your organisation.

What to include with your entry for Best Project

Your entry for this award must include:

  • a statement describing the purpose of the project
  • a description of the project’s intended audience
  • a list identifying all your supporting material (the documents or resources used in the project) 
  • a sample of all the supporting material used in the project
  • a summary of results achieved by the project, if available.

Please note, we need five copies of your detailed description and your supporting material for the judging process. The supporting material you enter will not be individually assessed against the WriteMark Plain English Standard. So, there is no limit on the word count or the number of documents or resources you can include with your entry.

Entering supporting material from your Best Project entry for other awards

Supporting material for your Best Project entry can be entered in other award categories. For example:

  • your supporting material might accompany your application for the Best Organisation or Best Individual awards
  • a website you have entered in the Best Plain English Website category could support your entry for Best Project .

All entries will be judged independently and must comply with the requirements for the category entered.

Best Individual

This award is open to any New Zealand-based organisation wishing to nominate an individual who significantly contributed to a plain English project, or to an organisation-wide plain English culture project.

What to include with your entry for Best Individual

To enter this award, please send us:

  • a brief description of the plain English project, or the organisation-wide plain English culture project
  • a detailed description of the individual's contribution to the project
  • a summary of results the project achieved
  • signed acceptance of the nomination by the individual.
